Executive Assistant to the Creative Director

Role Summary

The Executive Assistant to the Creative Director at DWL is a hybrid administrative and creative support role. This person will work closely with the Creative Director to manage her calendar, communication, projects, personal brand, social media, creative schedules, digital assets, presentations, pitches, and day-to-day priorities. This role requires someone who is highly organized, resourceful, discreet, creative, proactive, and flexible. The ideal candidate must understand the pace of a fashion business and be able to support both business operations and creative execution. This is not a traditional admin role. It requires someone who can think ahead, organize moving parts, manage details, protect the Creative Director’s time, and support the visual, operational, and strategic demands of a growing luxury fashion brand

KEY RESPONSIBILITIES —

Calendar & Schedule Management

  • Manage the Creative Director’s calendar, meetings, appointments, fittings, consultations, shoots, interviews, events, and travel-related scheduling.
  • Prioritize meetings and ensure the Creative Director is prepared for each engagement.
  • Send reminders, confirmations, and follow-ups where required.
  • Coordinate internal and external meetings with team members, clients, partners, collaborators, vendors, and stakeholders.
  • Help protect the Creative Director’s time by organizing priorities effectively. 

Administration Support

  • Manage emails, messages, documents, meeting notes, and follow-ups as assigned.
  • Prepare agendas, meeting briefs, and recap notes.
  • Track action items from meetings and ensure follow-through.
  • Organize digital files, folders, documents, contracts, creative assets, and project materials.
  • Support with travel planning, bookings, event logistics, and personal brand engagements where required.

Creative & Brand Support 

  • Assist with mood boards, presentation decks, creative briefs, campaign planning, styling notes, and shoot preparation. DWL – Defining Women’s Lifestyle | Recruitment PackDWL – Defining Women’s Lifestyle | Recruitment Pack
  • Support the Creative Director with pitches, proposals, sponsorship decks, product documents, and brand presentations.
  • Help manage creative production schedules for campaigns, lookbooks, fittings, launches, and content shoots.
  • Coordinate visual assets, behind-the-scenes content, photos, videos, and brand files.
  • Ensure creative materials are properly named, stored, and easy to access. 

Personal Brand & Social Media Support

  • Handle social media for the Creative Director, including organizing, scheduling, and supporting day-to-day content across approved platforms.
  • Support the Creative Director’s personal brand content planning and organization.
  • Help ensure her personal social media presence aligns with DWL’s values, voice, aesthetic, and positioning.
  • Coordinate content ideas, captions, posting schedules, video concepts, and behind-the-scenes moments.
  • Support with simple day-to-day content editing, including basic video edits, reels, short clips, captions, and content formatting.
  • Track speaking engagements, panels, interviews, media features, and personal brand opportunities.
  • Work with the digital or social media team to ensure content is captured, organized, edited, and published appropriately. 

Shoot, Fitting & Event Coordination

  • Assist in coordinating fittings, shoots, styling sessions, content creation days, pop-ups, brand activations, and events.
  • Prepare call sheets, shoot notes, styling references, garment lists, and logistics documents.
  • Coordinate with photographers, videographers, models, makeup artists, stylists, clients, and vendors.
  • Ensure garments, accessories, props, and creative references are ready ahead of production days.
  • Provide on-ground or remote coordination support where needed.

Project & File Management

  • Track ongoing projects across DWL, collaborations, product launches, and Creative Director-led initiatives.
  • Maintain organized folders for photos, videos, press materials, bios, decks, lookbooks, client files, and campaign documents.
  • Ensure deadlines are tracked and key tasks do not fall through the cracks.
  • Organize and manage digital files, visual assets, creative documents, production schedules, and presentation materials.
  • Support with Notion, Google Drive, Airtable, Slack, Canva, PowerPoint, CapCut, and other tools used by the team. 

Communication & Follow-Up

  • Draft messages, emails, captions, briefs, proposals, and follow-up notes where required.
  • Liaise with team members, clients, collaborators, vendors, and partners on behalf of the Creative Director.
  • Ensure communication is polished, warm, professional, and aligned with DWL’s brand tone.
  • Follow up on pending tasks, approvals, outstanding files, and project updates.

REQUIREMENTS —

  • Previous experience as an Executive Assistant, Creative Assistant, Personal Assistant, Project
  • Coordinator, Social Media Assistant, or similar role.
  •  Experience in fashion, lifestyle, beauty, media, events, or a creative industry is strongly
  • preferred.
  •  Excellent organization and time management skills.
  •  Strong writing and communication skills.
  •  Ability to manage multiple moving parts at once.
  •  Comfortable working in a fast-paced, flexible, creative environment.
  •  Must be resourceful, proactive, discreet, and detail-oriented.
  •  Must have a good eye for visuals, fashion, branding, and presentation.
  •  Must be able to work independently and take initiative.
  •  Must be comfortable supporting both administrative tasks and creative execution

Preferred Skills —

  • Experience with Canva, Google Drive, Google Calendar, Notion, Airtable, Slack, PowerPoint,

  • Instagram, WhatsApp Business, CapCut, and content planning tools.

  •  Basic video editing skills for simple day-to-day social media content.

  •  Basic understanding of fashion shoots, fittings, styling, campaigns, and creative production.

  •  Ability to create simple decks, organize assets, and prepare visual references.

  •  Strong understanding of personal branding and luxury brand presentation.

  •  Ability to write captions, emails, bios, proposals, and basic content briefs

Salary range: ₦150,000 monthly
